Keeping professional client service running with an unfilled position

The challenge

The optical business depends on keeping contact with clients whose needs repeat on long, predictable cycles: prescription renewal every two years, lens or frame replacement. Without a system actively managing that cycle, losing an employee left a direct gap in client attention and follow-up.

The technical solution

We implemented a client-management dashboard with automated re-engagement: the system identifies when a client enters their prescription-renewal or repurchase window and triggers a professional, dynamic touchpoint to keep them warm until the decision moment. An AI agent connected to that engine answers queries and manages follow-up without depending on staff being available at all times.

The result

The optical store avoided having to fill the vacancy under urgent pressure: the system absorbed part of the client follow-up and re-engagement load, keeping service quality up while hiring proceeded with more breathing room.
